Position Overview

 As the leader of a Communications team of five and a member of the senior leadership team, you’ll have a genuine hand in shaping the voice of the institution and the culture of our community. The Director of Marketing & Communications is responsible for the strategic development and execution of all marketing, communications, and sales strategies to drive attendance, increase revenue through ticket sales and membership, and create brand trust and value. The Director of Marketing & Communications implements a focused strategy aligned with Philbrook’s mission to shape public narrative, build audience and membership engagement, and translate Philbrook’s work into compelling stories. The Director reports to the CEO and works in close partnership with colleagues across the Museum to ensure strategic alignment around brand and voice. 


Essential Responsibilities

  • Lead and manage the Communications department, overseeing day-to-day operations including budgeting, planning, staff development, and internal communications. Monitor and evaluate performance of direct reports; provide coaching, training, and corrective action as needed. 
  • Develop and implement a unified marketing strategy that advances Philbrook’s mission, strengthens institutional identity, and grows awareness of its assets and programs. Implement and measure the success of a comprehensive marketing strategy to enhance Philbrook’s position in the marketplace, driving attendance and sales. 
  • Advance an inclusive and strategically informed web and social media presence across Facebook, Instagram, TikTok, and other   channels as relevant. Oversee platform-appropriate content that grows online communities, drives consistent traffic, and expands reach among current and not-yet-engaged audiences. 
  • Provide direction to and maintain Philbrook’s brand identity in collaboration with designers, ensuring aesthetic consistency and a uniform institutional voice across all print and digital materials.
  • In collaboration across departments, write and/or edit copy for advertising, communications, and audience engagement. Ensure tonal and brand consistency across all institutional communications. Contribute audience insights to help other departments make informed content and programming decisions. Collaborate with fundraising on membership efforts to identify opportunities and execute appropriate strategies for revenue growth. 
  • Lead media relations and serve as a primary Museum spokesperson. Provide communications counsel and media preparation support to Museum leadership and colleagues as needed. 
  • Create and track metrics to evaluate the effectiveness of communications campaigns. Share findings with Museum leadership and use data to inform future strategy and resource allocation. Stay current on trends in museum communications and marketing. 

Job Requirements

Equivalent Education/Experience

  • Bachelor's degree in communications, journalism, public relations, marketing, or a related field.
  • Minimum 5 years of progressive experience in communications or marketing required; experience managing team strongly preferred.
  • Prior experience in an art museum, cultural institution, or nonprofit organization strongly preferred.

Knowledge/Skill/Ability

  • Demonstrated knowledge of or genuine interest in visual art, art history, or the cultural sector; ability to communicate meaningfully about art to diverse public audiences.
  • Highly skilled in content strategy, writing, editing, and editorial process management across multiple formats and audiences.
  • Proven experience in press and media relations, including relationship building, writing press releases, and pitching stories to local and national outlets. Experience serving as on-camera/on-air spokesperson.
  • Experience with people management, including hiring, developing, and leading teams.
  • Strong analytical skills with the ability to create and track metrics, evaluate campaign effectiveness, and report to senior leadership.
  • Experience with digital content such as websites, social media, online advertising, and email campaigns including basic knowledge of HTML 5, Adobe after Effects, and web-development software, such as Webflow.
  • Strong Microsoft Office product knowledge required.

Position Overview

The Controller is responsible for overseeing key accounting operations that support the financial stewardship of Philbrook. This role ensures audit readiness, maintains accurate financial reporting, and supports the organization’s budgeting and financial planning processes. The Controller works closely with the CFO and business office team to strengthen internal controls, improve processes, and provide clear financial insights to staff and board leadership.


Essential Responsibilities

Audit & Tax Compliance

  • Maintain audit readiness and coordinate preparation for the annual financial audit and required tax schedules
  • Serve as a liaison with external auditors ensuring audit schedules and supporting documentation are timely and accurate
  • Ensure accounting practices comply with applicable accounting standards and nonprofit fund accounting requirements

Accounting Operations

  • Prepare and review accounting entries related to investment activities
  • Perform and oversee monthly bank reconciliations to ensure accuracy and completeness
  • Review monthly journal entries for accuracy and compliance with accounting policies
  • Maintain appropriate internal controls and accounting documentation.

Financial Reporting & Systems

  • Build and maintain financial reports within Sage Intacct to support management and board reporting needs
  • Prepare financial analysis, as requested, for management review
  • Occasionally present financial information at board committee and all-staff meetings.

Budgeting, Financial Planning & Process Improvement

  • Assist the CFO in developing and maintaining Philbrook’s budgeting process
  • Provide financial insights to improve planning and decision making. 
  • Meet regularly with Philbrook project owners to review performance, assess over-/under-performance against budgets, and help ensure overall net performance goals are achieved.  
  • Support and lead initiatives to enhance financial processes, reporting efficiency, and internal controls.
  • Evaluate business processes and make recommendations to improve operational effectiveness.

Job Requirements

Equivalent Education/Experience

Bachelor’s degree (or equivalent work experience) in any of the following or related fields:

  • Bachelor's Degree (B.A. or B.S.) in Accounting from a four-year accredited college or university
  • 7-10 years of progressively responsible fund accounting experience, preferably in non-profit accounting environments
  • Demonstrated experience managing or coordinating the annula financial audit as primary job responsibility. 
  • Skilled at preparing financial reports, interpreting data, and providing recommendations to senior leadership. 

Knowledge/Skill/Ability

  • Strong understanding of nonprofit fund accounting and financial reporting standards
  • Ability to translate financial data into actionable insights for non-financial audiences
  • Strategic thinker with exceptional analytical, organizational, and communication skills
  • Motivated to drive process improvements and make a visible impact on the organization
  • Advanced computer skills in Excel and MS Office
  • Strong collaborative and relationship management skills

Preferred Qualifications:

  • Experience with Sage Intacct
  • Active Certified Public Account (CPA) license

Position Overview

Proactively performs or oversees daily care, maintenance, construction, and long-term planning for all Philbrook buildings and infrastructure, including preventive maintenance, repairs, and assigned capital projects. Upholds and advises on policies related to care and maintenance of historic and non-historic structures; administers construction projects, including bid procurement, contract negotiation, scheduling, budgeting, general project management, and recordkeeping for all projects. Supervises engineering, maintenance, and custodial staff.   


Essential Responsibilities

Facilities Management

  • Collaborate with Horticulture, Collections & Exhibitions, and Events teams to ensure continuity of care throughout Philbrook campus and maintain a safe and welcoming environment for staff and guests. 
  • Handle budgeting, RFPs, bid selection, project management, and record-keeping for all building-related projects, including annual maintenance, general repairs, and assigned capital projects.  
  • Serve as a staff resource for complex projects and long-range planning by consulting, reading, analyzing, and interpreting building and design plans, as-built documents, blueprints, and schematics. 
  • In collaboration with museum leadership, plan, negotiate, administer, and implement building services, security, and construction contracts. Oversee all contractors working on the facility or grounds infrastructure.  

Campus Operations 

  • Inspire a culture of collaboration and proactive support for institutional activities at all levels.  
  • Oversee Assistant Manager for Operations, who manages Event Support staff. Ensure smooth operational support for all on-site events.  
  • Serve as ADA Site Coordinator, ensuring appropriate access for all. 

Organizational Leadership

  • Serve as the primary organizational liaison to all building-associated service providers and vendors.   
  • Develop and manage operating budgets for engineering, custodial, and museum maintenance projects while monitoring expenses and maintaining department efficiencies.  Develop assigned capital budgets. 
  • Manage engineering, maintenance, event operations, and custodial teams to assure productivity, efficiency, and continuous improvement of the staff.  Monitor and evaluate performance and provide coaching, training, and corrective actions as required. 

Safety and Emergency Response

  • In collaboration with museum leadership and partnering with Manager of Safety & Security and Chief Registrar, implement the museum’s safety and security policies, standards, and emergency preparedness plans to ensure a safe and secure environment for visitors, staff, and the collection. 
  • Work closely with museum leadership to mitigate or minimize risks to artwork, facilities, personnel, and visitors.  
  • Be on call 24/7 for emergencies. Coordinate and oversee building recovery process when needed.  

Job Requirements

Equivalent Education/Experience

Bachelor’s degree (or equivalent work experience) in any of the following or related fields: 

  • Architecture or engineering
  • Facility, construction, or project management
  • Historic preservation  

OR First Class Engineer’s license

+ Plus a minimum of five years of progressively responsible professional experience


Knowledge/Skill/Ability

  • Excellent project management skills, able to plan, organize, assign, and coordinate the activities of subordinate staff.
  • Keen understanding of construction methods, building systems, local building codes, and historic preservation standards and methods. 
  • Comfortable reading blueprints, architectural drawings, construction specifications 
  • Able and willing to perform hands-on tasks when appropriate 
  • Must possess high-level interpersonal skills and the ability to work independently and collaboratively, communicating effectively with a broad range of stakeholders, colleagues, and contractors
  • Organized, innovative, budget-minded, attentive to detail, and committed to excellence, and possessing an open-minded outlook
  • Efficiently operate Microsoft Office products
  • Must be able to meet physical demands and working conditions

As the Building Engineer, you are primarily responsible for ensuring proper, safe, and efficient operation of the air handling systems and associated equipment. This position will also maintain mechanical equipment throughout the Museum, and upholds policies and standards related to care and maintenance of historic and non-historic structures.

Job Requirements

What You Will Do

  • Operate the mechanical and electrical systems including all boilers, chillers, and auxiliary equipment, pumps, controls, and valves.
  • Checks operating equipment in each mechanical area daily and log operating parameters, note safety discrepancies, and make minor adjustments and repairs, as needed.
  • Perform preventative maintenance to all equipment in the required time periods, and shut down and start up work, and standby units as required to meet normal and emergency requirements.
  • Identify safety hazards and take appropriate actions to protect personnel and visitors.
  • Maintain and repair electrical and plumbing equipment.
  • Maintain prompt and reliable attendance in order to successfully perform the duties of the job.
  • Fosters a culture of collaboration and proactive support for institutional activities.


What You Will Bring

  • First Class Stationary Engineers License required
  • High school diploma or equivalent combination of education, training, and experience
  • 3 to 5 years of experience with mechanical equipment to include chillers, boilers, pumps, and air handlers.


Qualifications

  • Advanced knowledge and skill in operating and repairing standard facility systems including mechanical and electrical systems, HVAC, water and plumbing systems.
  • Intermediate knowledge of standard procedures for responding to emergency situations involving malfunctions of facility systems or required shutdowns due to safety and security issues.
  • Must be able to lift, carry, and push 60lbs.


SCHEDULE INFORMATION:

  • Full Time: 9:00am - 5:00pm or 8:00am - 4:00pm Monday through Friday and every other Sunday (with occasional evenings/weekends)
  • Part time hours are flexible (but will include occasional evenings/weekends)
